The ERPNext is customized and enhanced with a set of generic capabilities for eCommerce scenario, motivated by a need to integrate with Merit’s Multi-Party Settlement System (MPSS) for the ecommerce domain. Any eCommerce systems can leverage these capabilities in many different ways. Merit’s Multi-Party Settlement System (MPSS) uses these capabilities and addresses one of the critical requirements in any eCommerce System.
The MPSS is a highly configurable real-time engine that receives SO events such as SO Approve (submit), Cancel, Delivery and return after delivery from an order processing system (ERPNext) and posts the corresponding accounting transactions in the GL in real time. On SO submit, it automatically apportions the amounts to multiple parties involved in the ecommerce business. On Cancel, Delivery or Return after delivery events, it performs reversals and adjustments based on pre-defined rules and Chart of Accounts. A rich set of reports provide a 360 degree view of the events and accounting transactions through the Sale Order lifecycle. The bi-directional Integration between ERPNext and the external MPSE system are performed by means of REST APIs.
The Sale Order document type is customized with additional fields that are generally supported in an ecommerce order from a POS terminals or a web based order processing system.
The ERPNext Sale Order Module has been customized and enhanced to support a new capability to publish SO lifecycle events to a configured REST service end point. The SO life cycle events include events such as approval (submit), Cancel, Delivery and Return after delivery.
The Journal Entry and GL Entry document types are customized with additional fields that enable design of advanced reports including SO lifecycle event trace and corresponding accounting transactions based on rich set of filters such as order id, event id, customer id, etc.
The ERPNext provides an interface to receive Sale Orders from POS terminals in real time. In certain scenarios, the orders are captured in spreadsheets and require batch submission to the order processingsystems. A stand-alone application is designed to fetch a batch of Sale Orders in a XLS document and submit the orders in ERPNext via APIs. On successful submission, the SO hooks automatically publish the SO life cycle events to the REST end point (MPSS) for accounting.
A XLS based Order accounting template and a stand-alone application are designed to help automate the testing and verification process. When a batch of ecommerce order records are loaded into the template, the template automatically calculates the apportion amount (based on pre-defined formulas in the XLS cells), for each order line item and associated accounts as per the COA.
The stand-alone application compares the amounts posted in the GL accounts against the pre-computed values for corresponding accounts in the XLS template and display the verification report. The tool has been used to test the MPSS functionality for thousands of orders.
